Getting started with Field

Field is the phone app the crew uses: the clock, the hazards, the end of the day, and what the machines did. It is built to work all day without signal, to be used with gloves on, and to be read in Spanish or English.

By Ryan Lindsey, founder of AggradoHow we write

Before you begin
The jobs, cost codes, people and machines a crew sees all come from Job, so set those up first. See Getting started with Job. Roles are given out on Company › Users and roles, and each company makes its own from templates. The field ones are Foreman (the daily report, the crew's hours and quantities) and Operator / laborer (inspects machines, reports problems, logs their own hours); a Superintendent uses Field too. Mechanic (works assigned work orders and records service) is with the shop roles.

Sign in on the phone

  1. Sign in.

Open the Aggrado app and enter your Email and Password. It is the same account you use for any Aggrado product, so anyone who already signs in to the website uses the same details here. There is no server address or company code to type.

  2. Choose the company.

If you belong to more than one, tap it under Choose a company. You can change it later under Account with Switch company.

  3. Set the language.

The app follows the phone's own language. To set it yourself, open the Account tab and under Language choose Same as this phone, English or Español. The app's own words follow that choice. The office's sign-in questions are shown exactly as the office typed them.

The Field tab appears for anyone with a Field role; a project manager also sees a Job tab. The Field tab opens on Today: the day's dispatch, then the day as big buttons. A foreman gets who's clocked in, My time, Start the day, walkarounds, Finish the day, and Photo, Ticket and Delivery, with the next thing to do in an orange bar at the foot. A crew member gets My time, Check your hours when someone changed them, their machine's walkaround and their next two weeks. Everyone has Report a problem, then More. See Today on the phone. To print a card for someone's first day, or a poster for the shop wall, see First-day card and Phone app poster.

Start the day

One morning step for the crew: the day's hazards (the pre-task plan), the toolbox talk and the sign-in, signed once.

  1. Read the dispatch.

If the office has sent you out, today's dispatch sits at the top of Today with the start time, where to meet, who is with you and what machines are going. Tomorrow's is under More › Plans and people › Where you'll be. With no dispatch, pick your job.

  2. Tap Start the day.

It shows Today's work and the job's hazard list (the JHA). Add anything new under Add a hazard for today.

  3. Give the talk.

Under Today's talk, choose the topic and tap Read the talk. It reads in English or Spanish.

  4. Get everyone signed.

Each person signs on their own phone after they clock in, with Sign for today. For anyone who can't, tap their name here, have them answer the office's few questions, and have them sign in the box.

  5. Tap Start the day.

An answer worth acting on shows Tell the office about this, with what the office said to do about it.

Nobody is sent home by a phone
A concerning answer is recorded and raised to the office; the app never refuses somebody the day. If a job has no hazard list, or its one has run out, the screen says so.

The clock, the card and the report

The clock comes first, and the time card and the daily report build themselves from it and the day. At the end of the day, Finish the day is one screen, and Send the day sends both with one button.

Quantities are what production rates are worked out from and what the customer is billed on. Installed today sits on Finish the day beside each cost code with hours, and shows how far along it is (So far: 1,240 of 3,000 LF). Photos taken with Photo on Today go on the day's card and upload when there's signal.

Sign a T&M ticket

Extra work is argued about weeks later, when nobody remembers it. Marking hours Extra work (T&M) on Finish the day lets you settle it the same afternoon.

  1. Make the ticket.

Open today's card under More › Paperwork › Past days, and at the bottom tap Make a T&M ticket. The day prices itself from the rates the office agreed for this job, which the phone already holds, so it works with no signal.

  2. Say what it was.

Fill in What the customer asked for and Who directed it, and add anything under Materials and everything else.

  3. Get it signed at the truck.

Under Who's signing, enter the inspector's name, title and company, and have them sign where it says Sign in the box. Tap Send the T&M ticket. If nobody was on site to sign, the office can Send for signature from Job: the customer's rep signs by a link, with no account.

If a ticket couldn't send
The signature carries the total the inspector was shown. If the day prices differently by the time it reaches the office, the ticket is refused and Today says A T&M ticket couldn't send, with Throw this ticket away. Throw it away and make it again rather than arguing from a number nobody signed.

Machines

On Today, under More, tap Machines for what is at work; Scan a machine is the first button there, to point the camera at the QR tag on the machine. Tags are printed from Job, under Equipment › Print machine tags. If a tag is too dirty to read, type the machine number instead.

  1. Walk around it before you start.

Each machine whose walkaround is yours today is a step on Today: Walk around the 336, Before you start. It's the pre-use inspection. Tap it (or Walkaround on the machine) and answer the form with OK, Problem or Doesn't apply, adding photos and a note where something is wrong. Mark what's wrong first, then Everything else OK marks the rest in one tap. The signer is filled in (Use my saved signature), and the hour meter you enter is the machine's reading for the day too. Before you can send: lists anything the form insists on, then tap Send the walkaround.

  2. Record the meter.

Otherwise, enter the Reading on the machine and tap Record. A reading that looks wrong is still taken, and held for the shop to check.

  3. Report a problem.

Tap Report a problem on Today, then A machine has a problem, or Report a problem on the machine. Say what's wrong and how bad it is (Can wait, Needs a look soon, Needs a look today or Unsafe), and add photos. Checking The machine can't be used until it's fixed takes it out of service, so nobody puts hours on it until the shop clears it. Tap Send to the shop.

  4. Call off a rental.

On a rented machine, tap Call off rent. You can call the rental house from that screen, enter their confirmation number, and leave a note for the driver, then tap Call it off. It is dated the moment you tap it, even with no signal, which is what stops the rental clock.

Site tickets

The paperwork that comes onto a site — truck and scale tickets, delivery tickets, dump tickets, fuel tickets, T&M sheets, test reports — is the job's evidence of what came in and went out. Snap each one; it goes into the job's files with what it says.

  1. Snap it.

On Today, under Add to today, tap Ticket. The camera opens; the job and day come from today's dispatch.

  2. Check it.

Where the company has AI on its photos, the ticket is read for you and the fields it filled are marked Read by AI — check. Choose the kind and put right anything that doesn't match the paper.

  3. Confirm it.

It matches the paper, or Save, check later and confirm it from More › Paperwork › Site tickets.

A ticket is a quantity, not a cost: the cost is the supplier's bill, which the office checks against the tickets. In the office, each job's Tickets view has them by day or by vendor with their photos, totals by material, what's still to check, and what no bill has been matched to yet. Confirmed material and haul tickets with a cost code show as received or hauled beside the installed quantity on Cost to date.

Fuel tickets

When the fuel truck comes, keep its delivery ticket, not a tally of which machine got what. Nobody has to guess at that: each machine's burn is worked out from its hours on the time cards.

  1. Start it.

On Today, tap Ticket and choose Fuel: confirmed, it becomes the job's fuel ticket. To type one in, open the job (More › Jobs) and tap Fuel ticket there.

  2. Photograph the ticket.

So the gallons and the ticket number can be read in the office.

  3. Enter what it says.

The Gallons delivered, the Price a gallon (it starts at the company's fuel price; change it if the ticket says otherwise, or leave it empty if the ticket has none), the Fuel supplier, the Ticket number and the day it came. Tap Save the ticket.

It is kept on the phone until there is signal, and My fuel tickets on the same screen says whether each is on the job's cost yet, and why not if it isn't (no price, or a job the office hasn't given a Fuel code). Only a company that logs fuel machine by machine sees Record fuel on each machine as well.

The job in your pocket

From Today › More › Plans and people, tap Jobs and then the job. Everything on that screen was brought down at the last sync, so it opens in a trench with no bars.

  • Schedule — this week, the next two weeks, and anything past its finish and not done.
  • Deliveries — what should have come, today's, and the next three weeks. Open one to call the supplier, check the PO against the ticket, and mark it received. Where the office listed the pieces, tap Scan the pieces and read each label; tap a piece to say it is damaged, short or refused, which needs a photo, because that photo is what the credit is argued from.
  • Can the site take it? — before a truck comes, answer Ready for it or Not ready with what is in the way and a day that would suit. A truck stopped the day before costs nothing.
  • Plans — the current set and its sheets. Tap Keep this set on the phone while you have signal, and the sheets open later with none.
  • Contacts — the customer's rep, the inspector, suppliers and utilities, grouped by side, each one a tap to call.

To ask the office for material, tap More › Paperwork › Material, then Ask for material: what, how many, the unit, when it's needed and whether it's Delivered or picked up. The same screen shows each request as it's approved and ordered.

Working without signal

Everything above is filled in on the phone and kept there. The bar at the top of the Field screens says which it is:

  • No signal. Everything is saved on this phone and sends when there's signal.
  • A count of what is waiting, such as 2 cards, 1 reading and 3 photos waiting for signal.
  • Everything's sent. Nothing is left on the phone. A crew member's Today shows no bar at all then. Send now pushes it by hand.

Sending happens on its own when Field opens, when signal comes back, when the app returns to the front, and every minute while something is waiting. A time card keeps the id the phone gave it, so sending it twice never makes two cards. If something can't go, the phone stops retrying and says why: Couldn't send: … Fix it and send again. Waiting to send, under the bar, lists everything the phone is holding.

The one screen that needs signal
The jobs list and the office's own figures are live, so they need a connection. The day's work — cards, sign-ins, readings, walkarounds, problem reports, deliveries, T&M tickets, material requests, the weather day and the report — does not.

What the office does

  1. Approve the cards.

In Job, on People and safety › Time, the Time cards tab lists them under Waiting for approval. Approving one posts its hours and machines to the job's cost; Send back returns it to the foreman with a comment. Approve, the count and ready approves every clean card at once. Approved hours go to payroll from Money › Send to payroll.

  2. Watch the fuel.

Each job's Fuel view has its fuel tickets, the Fuel code's budget against actual, and the gallons delivered against the gallons the machine hours should have burned, with the class burn rates that would close any gap for a project manager to apply.

  3. Read the day.

Daily reports open on Jobs › Daily reports with To approve across your jobs and a Missing list of days with a time card but no report. See Daily reports. The claim evidence is there too; the tags an hour or a delay can be marked with are under Settings › How your crews work. What anybody flagged at sign-in, the questions themselves and each job's hazard analysis are under People and safety › Toolbox talks and hazards.

  4. Enter a card on a computer.

Field's own web pages are few: Jobs, Time cards, Where you'll be, Material, Forms and Machine moves. A card can be entered there when a foreman has no phone to hand, and it behaves the same as one from the field. Each line of hours, on the website and on the phone, can be marked with the company's tags, such as a weather delay or rework.
