Daily reports

The daily report (the daily log) is the record of a day on a job. The foreman finishes the day on one screen, which sends the hours and the report with one button. Most of it is already filled in. The office reads it, approves it if the company asks for that, and sends it to the customer.

By Ryan Lindsey, founder of AggradoHow we write

Finish the day

  1. Open Today.

Near the end of the day, the orange bar at the foot reads Next: Finish the day.

  2. Tap Next: Finish the day.

Or tap the Finish the day row. It's always there, so you can open it early and it keeps what you've done.

  3. Choose the job, if it asks.

With a dispatch, it knows. Choosing the job is all a day needs: the card and the report are made underneath, and there's nothing to start.

What's filled in for you

  • Who worked: everyone from the clock, with their times, cost code and hours. It refills as people clock out.
  • Machines: who ran what, for how long, from their clocks.
  • Installed today: each cost code with hours, ready for the quantity.
  • Already on the report: the weather, the toolbox talk and who signed, walkarounds and problems found, deliveries, tickets, photos, and Incident reported, never the injury.

Nobody types the weather. Aggrado looks up what the nearest National Weather Service station recorded.

What you add

  1. Clock out whoever's still on.

Tap Clock out the 2 still on. Tap Clock out the rest for anyone who needs a PIN.

  2. Check Who worked.

Tap a name to change their hours or code. See Change someone's hours.

  3. Check Machines.

Tap a line to change it. Didn't run marks a machine that sat, and It ran brings it back. If the meter moved less than the clock, it offers Put 3.25 h on standby.

  4. Enter what went in, under Installed today.
  5. Say what happened.

Tap Say it and talk, or type in the box. Nothing to say? Tap Normal day.

  6. Add the rest under More, only if there's anything.

Lost time, Customer note, Visitors, Subs, Materials and Safety note. Count lost time in crew-hours: six people stopped for two hours is twelve.

The office chooses which of these you see, under Settings › How your crews work, Daily report sections.

Send the day

  1. Fix anything in red.

It says what: a cost code to choose, or why someone's hours changed.

  2. Tap Send the day.

The hours go for approval and the report goes to the office, together. The screen says The day is sent.

No signal
It all saves on the phone as you go, so there's no Save button and leaving loses nothing. Tap Send the day anyway. It says Saved on this phone. It sends when there's signal., and Today shows the same.

A day when nobody has hours still sends: only the report goes. To change a past day, open it from More › Paperwork › Past days.

A weather day

On Today, answer Did the weather stop work today? with one tap: Rained out or Too wet to work. The company's rained-out hours go on the time card, tagged Weather delay, and the schedule moves. Tap it again to take the mark off. With no signal, it's saved and sent later.

A second foreman

A job has one report a day, even with two foremen on it. Open Finish the day as usual. When the other report is in, the top of the screen says Mike's report is in. Yours adds to it., with what he wrote.

Send yours the same way. Your words go after his with your name on them, and your visitors, subs, materials and delays join his, each once. Neither of you writes over the other. With no signal you won't see his, and it still comes out the same.

What the office does

On the website, open Jobs › Daily reports, or the Daily reports view on a job. A report is Draft until it's sent, then Submitted, then Approved, which locks it. A company can turn approval off under Settings › How your crews work, Daily reports need approval: then a report locks when it's sent.

  1. Read To approve.

It lists every submitted report on every job, oldest first. Select one to read it in place. Check Only jobs I’m named on for just yours.

  2. Approve.

A single report has Approve. For several, select Check the ones with no hours lost or Check all, then Approve checked.

  3. Chase the missing days.

Missing lists the last two weeks' days with a time card but no report sent. Select Start it or Open it, or ask the foreman.

To write a day from the office, choose the Job under One job, choose Report for and select Open, or Start from the last report to copy its subcontractors, visitors, materials and hours where the day has none. Edit opens the whole report, and Send sends it. An approved report is locked, so a correction goes in the next day's. Past reports from another system come in with Import past reports.

What the customer sees

What happened and the Safety note stay with your office. The Customer note is the only writing that can reach the customer.

  • With a note, the customer reads it, on the PDF and, with Daily reports switched on in the job's Customer access, on the customer portal, once it's approved.
  • With no note, the portal shows nothing for that day. An emailed PDF carries the day's facts: crew, hours, machines, quantities, tickets and deliveries. Before that goes, the office sees Approve and email the facts, or Write them a note.

The PDF and the report list

A job can email each report as it's approved. Above The days, check Email each report to the job’s report list when it’s approved. The report list is the customer and general contractor contacts with an email on the job's Contacts. With approval turned off, a report with a customer note goes out when it's sent, and one with no note isn't emailed.

To send one by hand, open a day and select Download PDF, or Email…. The PDF carries the weather, the customer note, the crew on site counted by trade, subcontractors, equipment, work put in place by cost code, materials, delays, visitors and a count of photos. It never includes the office's words, names, rates or cost. A draft is marked as one. Everything sent is listed under Sent below the buttons. See Sending documents.
