The crew time card

A crew time card is one day's hours for everyone on a job: who worked, on what cost code (your phase codes), and on which machine. You don't fill one in. It builds itself from the clock, and you check it and send it when you finish the day.

Two ways of working

The office sets Who clocks your crew? under Settings › How your crews work. It only sets what people see first. Any day can mix, one dead phone stops nothing, and one person can be the other way, like a laborer with no phone.

  • Each person clocks themselves: the crew clocks in on their own phones (see Your time card). You look at who's on, and you step in only if someone's missing.
  • The foreman clocks the crew: you clock them in and out from your phone, and the crew checks their hours on theirs.

Everything below works the same either way.

Who's on the clock

  1. Open Today.

The first row says how many are on, like 3 of 5 clocked in.

  2. Tap that row.

It opens Clock the crew. Today's dispatched crew is listed first, each with what they're doing: On · 2419 Oak Street since 7:02 am, At lunch since 12:00 pm or Off the clock. Their machine is on the line under it.

Your own clock is My time, just under that row on Today. Tap it to open it.

Clock people in

On a day you clock the crew, the orange bar at the foot of Today does it in one tap: Next: Clock in all 5. It uses the dispatch's job and first cost code. To check them first, use Clock the crew:

  1. Check the job and code.

They show as On 2419 Oak Street · 02-100 Storm. Wrong? Tap Change job or cost code.

  2. Tap Clock in all 5.

At the end of the day, Clock out all 5 does the same. Your own clock-out stays on My time when the company asks Were you hurt today?

For one person, tap their name, then:

  1. Enter their PIN, if it asks.

Your own crew and jobs need no PIN. Someone else shows Not on your crew: needs their PIN, and they enter it on the big keys. Can't clock them from here. Ask the office. means they have no PIN yet.

  2. Tap Clock Ana in, or Clock Ana out.

Pick some of the crew

  1. Tap Pick who to clock.

Everyone on the dispatch is checked already.

  2. Tap whoever's missing, to uncheck them.
  3. Tap a button at the foot of the screen.

Clock in 3, Clock out 3, Switch 3, Lunch for 3 or Back from lunch: 3. The buttons show what fits who you picked. Stop picking leaves it.

Switch and Lunch

Switch is the one word for changing job, cost code or machine.

  1. Move everyone: tap Switch all 5.

For one person, tap their name and tap Switch Ana's job or code. For some, pick them first.

  2. Choose the Job and the Cost code.
  3. Tap Switch 5.

Their time on the old job or code closes and the new one starts at that moment.

  1. Lunch: tap Lunch for 5.

When they're back, tap Back from lunch: 5. For one person, tap their name and tap Lunch for Ana.

If the company takes lunch off
There's no Lunch button. The screen says 30 minutes for lunch comes off., and it comes off at clock-out on a day of over 6 hours with no break of its own.

Machines

The machine follows the person. Whoever's on it has its hours from their own clock, so nobody types them twice, and a machine change never changes anyone's pay.

  1. Tap the person's name.
  2. Tap Switch machine.

Tap the machine, Scan or find a machine, or Not on a machine. If it happened earlier, tap I forgot: it was earlier first.

  3. If someone else is on it, tap Take it over.

No, leave it keeps it with them. Either way, their clock keeps running. Only their time on the machine ends.

Your walkarounds are on Today, like Walkarounds 2 of 3. A problem marked there goes to the shop.

Change someone's hours

Hours change on Finish the day, under Who worked. See Daily reports for the rest of that screen.

  1. Tap the person's name.

It shows The clock says 8.25 h.

  2. Set the hours with the − and + buttons.
  3. Say why, under Why did it change?

The clock's number stays beside yours, and the person is asked to check it.

  4. Tap Keep these hours.

Changed your mind? Tap Put back the clock's 8.25 h.

If nobody clocked, there's nothing to change: tap 8, 9, 10 or 11 under Everyone's hours, or beside one person. Open a name for Another cost code, Extra work (T&M), or Lost time or rework. Add someone adds a person who isn't listed.

What's sent

Send the day, at the foot of Finish the day, sends the time card for approval and the daily report together. The screen says The day is sent.

  • Anyone still on the clock shows as Still on. Tap Clock out the 2 still on first. If you send anyway, the screen says who isn't on this send, and overnight the rest goes on a card from the clock.
  • A day nobody sent goes on a card overnight too, and the office hears about it.
  • A card sent back shows in red on Today, like Time card sent back: Mon, Oct 26, with why. Tap Open the card, fix it, and tap Send.
  • Past days, under More › Paperwork, lists every day's card and how it stands.

The office approves on the website, on People and safety › Time. Approved hours go to job cost, then to payroll.

No signal

Everything here works with no signal once the phone has loaded the crew and the jobs. Each tap is saved on your phone with the moment it was made: Saved on this phone. It sends when there's signal. A PIN entered with no signal is checked when it's sent. If the office can't take something, the phone stops and says why: Couldn't send: … Fix it and send again. Waiting to send lists everything the phone is holding.
