To-dos and punch lists

A to-do is a task given to somebody in your company, on a job or not. A punch list is a numbered list of items still to be put right on one job, usually made on a walk with the customer or the engineer. Both reach the people they are given to, and both work on the phone.

Who can do what
To-dos are handed out by a Project manager, Shop manager or Equipment manager. A Foreman in Field can hand them out from the phone on the jobs they are dispatched to, for themselves or their crew there. Anyone a to-do is given to can mark it done. Punch lists are started and walked by project managers and foremen; only a project manager closes items, closes a list, or emails it. Roles are given out under People and safety › Directory › Users and roles by an owner or admin.

To-dos in the office

On the website, open Jobs › To-dos, or a job's own To-dos view. Mine shows what has been given to you; the other tab (All I can see, or Everyone's) shows the rest. Filter by Job and Status, or check Overdue only.

  1. Add a to-do.

Select Add a to-do. Say What's to be done, and choose the Job (or No job), the Due date and the Priority.

  2. Give it to someone.

Choose one or more people under Given to. Each is told. Given to no one, it is yours. Add anything else under More about it, and select Add.

  3. Mark it done.

Select Done on the row, or Mark done in the to-do. Not done or Reopen undoes it. The person who made it can change it, or Cancel to-do.

People are told when a to-do is given to them, and again on the morning it is due. The home page lists Your to-dos. The Made by column shows who added each one, including those a foreman added from the phone; project managers see those with everything else.

To-dos on the phone

In the phone app, on Today, More › To-dos (with a count) opens My to-dos: the open ones given to you, the overdue ones first. On the Job tab, To-dos under Waiting on you shows every open to-do you can see.

  • Tap Done to check one off, or Undo. This works without signal and is sent later.
  • Those who hand out to-dos can tap New to-do, fill in What's to be done, the job, the day it is due, the priority and Give it to, and tap Add the to-do. Without signal it is saved on the phone, marked Not sent yet, and sent when there is signal.
  • A foreman finds New to-do under My to-dos and on each job they are dispatched to. The job must be one they are dispatched to, from yesterday to a week ahead, and the to-do can be given only to themselves or people dispatched to that job with them who sign in to Aggrado. The foreman who added a to-do can change or cancel it; anyone it is given to can check it off.

Changing or canceling a to-do is done on the website.

Punch lists

On the website, punch lists are on a job's page under Documents › Punch list. A job can have several, each shown as its own tab with how much is left to do.

  1. Start a list.

Select Start a list, enter the Name, who it was Walked with and Walked on, and select Start the list. Check the callback box when the customer called you back to work already done: its items count against the crew's quality on crew production.

  2. Add the items.

Select Add an item. Say What's wrong and Where, name who is Responsible (your own crew, or a subcontractor by name), and choose who it is On in your company, the Due date and the Priority. For your own crew's work, the Cost code of the work and Whose crew’s work it is (found from the time cards unless you choose) tie it to that crew's quality. Under Pin on a sheet, choose a plan sheet and click the spot. Photos can be added once the item is saved. Items are numbered in order.

Items are grouped by who is responsible, so each party can see what is theirs. Subcontractors do not sign in to Aggrado; they receive their items on the emailed list.

Walk it on the phone

The walk is quickest on the phone, and works without signal. Open the job from More › Jobs on Today (or from the Job tab) and tap Punch list. Items put on you show on Today under More › Punch list, as Punch items for you.

  1. Start the list.

Tap Start a list, enter the Name and who it was Walked with, and tap Start the list. The date is today.

  2. Add each item as you go.

Tap Add an item. Fill in What's wrong, Where and Who's to fix it (tap a name used before), and who it's Assigned to if you like. Take photos, and tap Pin it on a plan sheet to mark the spot, then Use this spot. Tap Add it.

  3. Carry on to the next.

The form keeps who is responsible, who it is on, the day and the priority, so the next item is quicker. Tap Back to the list when you are done.

Plans on the phone
To pin items without signal, keep the job's plan set on the phone first: open Plans on the job and tap Keep this set on the phone while you have signal.

Fix, check and close

Each item moves through the same steps, on the phone or the website:

  1. Fixed.

Whoever did the work, or a foreman or project manager, marks it fixed: Mark it fixed on the phone, or Fixed on the website. It becomes ready to check, and the person who started the list is told.

  2. Checked and closed.

A project manager checks it and closes it: Accept and close on the phone, or Checked: close it on the website.

  3. Or sent back.

If it is not right, Send it back with a note saying why, which is required. The person it is on is told.

An item entered by mistake can be voided with Void it; it stays on record but comes off the list. A list can be closed with Close the list once every item is closed or voided. Renaming, closing and reopening a list is done on the website.

Send the list

On the website, select Download PDF on the list. The PDF groups the items by who is responsible, with the first photo of each, and leaves voided items off.

A project manager can select Email… to send it. The addresses are filled in from the job's contacts whose name or company matches a party with items still to do, or otherwise the customer and general contractor. Check them before selecting Send. Once sent, the list shows it under Sent: who sent it, to whom, when, and whether it went.
