Before month end: the pay applications
WIP reads what each job has billed off its pay applications, so bill the month first. Money › Pay applications lists every billing job's application for the month and where it stands (Not started, Draft, Sent, Sent back, Approved or Paid), with the lien waiver. Start starts one and Open opens it on its job to finish and send; the button at the top starts all the ones not started. See Receivables for payments.
WIP: accept each forecast
The WIP section has a row for every active job: Contract, Cost at completion, Expected profit, Cost to date, % complete (by cost), Earned revenue, Billed, Overbilled and Underbilled. A line above the list says how many jobs have this month's forecast accepted.
- Open a row.
The job's forecast opens beside the list, code by code. Change what's left where it needs it. Next job › goes on down the list.
- Accept it.
Select Accept on the row (or Accept the October forecast, with the month's name, in the panel). It finalizes this month's forecast as it stands and makes it the job's target in one step. The row then reads Accepted.
A job with no forecast yet: the budget stands in has had no forecast written; its budget is used until it has one. Overbilled and underbilled are added up separately, never netted.
Close the month
Select Close the month. If any job isn't accepted, it asks first, naming how many still use an older forecast or the budget: Close anyway or Keep going. Set the Month ending day, add a Note if you like, and select Close with the day. Closing writes the schedule down as it stands; nothing about the jobs changes.
Each closed month gets a button beside Today to read it again, and the next schedule says what moved since, job by job, so a job slowly losing profit shows. Download CSV saves the schedule you're looking at.
Backlog
The Backlog section is the work still ahead: Backlog (won work, left to bill), Profit in backlog, Months of work and Bids out (weighted) by the chance of winning, then revenue by month and each job. Set The months you work so a winter shutdown isn't counted as work.
Bonding pack
The Bonding pack section puts the work in progress and the backlog in the order an underwriter reads them, dated, with What they'll ask about first: a job losing profit, one nearly finished and still underbilled, one with no forecast, cost not yet coded. Print the bonding pack prints it; Download CSV saves it.
