The Monday update

Once a week the project manager brings each job's schedule up to date, so the two-week look-ahead starts from dates that are right. The Monday update puts every job's lines that need a word on one page, with the new dates already worked out from what the crews put in.

What it is

Open Jobs › Schedule › Monday update. It checks every job that is Active or Not started and has a schedule, and lists only the jobs with lines to update. The jobs you are named project manager or superintendent on come first; check Show every job, not only the ones I run to see the rest.

The top says how many lines need updating on how many jobs, or that every schedule is up to date. A job with no schedule yet doesn't show; it gets one on its Schedule view.

Update the lines

  1. Read each job's lines.

Each job is a card with its lines to update, as of today (the next working day on a weekend or holiday), and any rain days lately. The job's name opens its schedule.

  2. Check what to accept.

Every line starts checked, with its new Start, Finish and Done (%) filled in. Uncheck a line to leave it as it is, or change a date or the percent first.

  3. Apply the job.

Select Apply checked on the job's card. The page says how many lines moved, and how many that wait on them were pushed later. Do the next job the same way.

What each line says

A line is listed when one of these is true, and says which:

  • Late to start: it should have started and nothing is in yet. It's moved to start today, keeping its length.
  • Running late: it's past its finish and not done. The new finish is when its remaining work says, or today.
  • Off pace: it's under way and in date, but at the crew's recent rate it runs past its finish.
  • Done (%): the crews' quantities on its cost code say a percent at least ten points off the one on the line.

Under the line, in plain words, is why, with how much is in of the budgeted quantity and how much a working day has gone in lately, and what it was (dates and percent) before. Remaining work is the cost code's budgeted quantity less what's in, at the rate of the last ten working days. A line with no cost code is listed only when it's late to start or past its finish.

Time cards drive it
The quantities come from the time cards the foremen send. A cost code the crews don't put quantities against can't be judged on pace, so keep the quantities on the cards.

The job's own schedule

  • The Monday update is the same list as Weekly update on a job's Schedule, for all your jobs at once. On the job, each line also takes a Why (optional).
  • Applying moves the lines on the job's schedule, and pushes later the lines that wait on them; done lines stay. Every move is kept on the line, with when and who.
  • The lines' baseline doesn't move, so the schedule still says how late each line is against it.
  • A day marked rained out has already pushed the lines it stopped, so the Monday update only shows what's left.
  • The two-week look-ahead asks for the lines running in its fortnight, so it starts from the new dates.
